Outsourcing Your Transcription and Where to Start.

You are looking to outsource your transcription, but where do you start? Everyone around you is doing it, but this is all new to you. So let us keep it simple. Here is my simple guide into pointing you in the right direction.

  1. First of all, start with the internet and search for a reputable UK based transcription company, or even better, ask around, as nothing beats a good recommendation. A transcription service provider that has been around for more than five years is often more trustworthy than newer ones. Their resilience and years in the business are proof of their hard work.
  2. You’ve found a transcription service, so now you need to check that their Privacy Policy and their full Terms and Conditions are listed on their website. These are usually at the bottom right hand corner of their website.
  3. Have a look to see whether they have any testimonials. This will show that they are trusted by many clients.
  4. When you approach a transcription company, make sure you have as much information as you can to hand, in order to get a more accurate quote and turnaround time. A good transcription company will have a secure upload system where you can send your audio file, or at the very least, an online enquiry form. The Information you will need to provide them with will be:-
  • Your name and/or company name;
  • Contact details, including a telephone number and email address;
  • The type of work you are looking to get transcribed (e.g., one to one interview, focus group, conference recording, or a report dictation such as a Building Survey or a Homebuyers Report.);
  • The length of your audio recording;
  • Let them know if there any non-English accents, as this can slow down the transcription time enormously;
  • What turnaround time you are looking for (i.e. Are you up against a deadline or are you flexible);
  • What is the nature of the transcription (i.e. are there any unusual words such as medical or law terminology).
  1. Flexibility is important. Transcription services must be flexible in handling the needs of various clients. If you have your own template, then the transcriptionist should be able to work with it.
  2. Ask who will be transcribing your audio files and where your audio files, together with any of your personal information will be stored.
  3. Follow your gut! You will know if you have found the right transcription service that suits your needs.
